Clinical Partnership Engagement

Introduction

Engaging with Clinical Partners is core to the JBI Mission of seeing evidence-based healthcare globally impacting policy and practice through the local and context-specific activities of each

Collaborating Entity.JBC

JBIC Entity.

Clinical Partnership Engagement as a JBIC Matrix Activity recognises JBIC Entities working with Clinical Partners in numerous ways through a tiered partnership Model.

Read the information below carefully to decide which tier you will register your Clinical Parnership through, note there are different expectations and KPI’s for Tier 1: Diversified Clinical Partnership and Tier 2: JBI Endorsement.

For the full the Key Performance Requirements and operational guidelines, please refer to the JBI Collaboration Handbook.

Please note: There are separate registration forms for Tier 1 and Tier 2 Clinical Partnerships. The registration forms are required to be completed and returned to the Global Engagement Office by the 31st March for it to apply to the current year of reporting. Any Clinical Partner Registration Forms submitted after 31st March will be set up as Clinical Partners as of 1 January of the following year. Both registrations can be found below, or on the Forms and Templates page.

TIER 1: DIVERSIFIED CLINICAL PARTNERSHIP

NOTE: Tier 1 Clinical Partnerships do not receive a complimentary access to EBP Database, SUMARI or PACES.

Tier 1 Clinical Partnership is for broad and diversified engagement with clinical partners for the purpose of contributing to JBIC Entity activities (i.e. co-creation of JBI Systematic Reviews), introducing Clinical Partners to EBP, training in JBI’s approach to synthesis, transfer, implementation etc. as determined by the needs of a JBIC Entity and their Clinical Partner.

To accrue 10,000 points for this activity JBIC Entities that have registered Tier 1 Clinical Partners must:

a)        Provide evidence of an active relationship through engagement activities conducted with the clinical partner and its staff, using the JBI Model of Evidence-Based Healthcare, through the completion of an annual online evaluation submitted with their Entity Annual Review Report.

AND

Submission of at least one (1) of the following as supporting evidence of engagement:

a)        Evidence of training programmes related to JBI activities within the clinical partnership: e.g. workshops/short courses/JBI CSRTP/EITP/ fellowships focused on EBHC/Research (using JBI methodology)

b)        Evidence of Bespoke JBI resource training delivered within the organisation (awareness of JBI model; using JBI PACES/SUMARI; understanding Evidence Summaries etc) such as webinars, seminars, lunch & learn, Journal Club – provision of flyers/programs/attendance lists etc.

c)        Evidence of the JBI model in practice i.e. published impact story/ case story/ blog

d)        Evidence of annual report on JBI partnership activities delivered at executive /board level i.e. Annual report summary in Executive meeting minutes

e)        Contribution to development of clinical guidelines and evidence summaries- i.e. published JBI evidence summaries, member of JBI Specialty Field ERG, evidence of JBI ES/RP in clinical guidelines

f)         Evidence of implementation of clinical evidence in practice using JBI framework i.e. short report/blog/impact story/publication (including JBI implementation reports)

g)        Reference to the JBI partnership in organisational strategic documents (upload of strategy document)

h)        Evidence of working with Research & Development departments/health library services/clinical effectiveness teams/audit teams.

Engagement may be at unit, clinic or organisational wide levels, as determined by the JBIC Entity. JBI recognises that both JBIC Entities and their Clinical Partners have different needs, skills and available resources. Entities should therefore be free to exercise creativity and draw on their collective experience at working with local groups to transfer knowledge, skills and support a Clinical Partner in engaging with JBI evidence, tools and resources.

Examples of engagement strategies are listed on page 18 of the JBIC Handbook.

TIER 2: JBI ENDORSEMENT

The goal of Tier 2 Clinical Partnership Engagement is to work with Clinical Partners to achieve JBI Endorsement- a recognition awarded to healthcare organisations that demonstrate commitment to evidence-based healthcare and an organisational-wide culture of innovation and excellence.

The JBI Endorsement Program is underpinned by quality Standards (the 3Cs) that drive the implementation of evidence-based practice and improve the quality of healthcare practices and outcomes.

JBIC Entities can nominate to work with a designated hospital or health facility (single site only) through completion and submission of the JBIC Clinical Partner Engagement Form. For a Clinical Partnership to be established;

  • The JBIC Entity must have an accredited EITP trainer OR someone who has completed JBI EITP; AND

  • The Clinical Partner must have at least one staff member that has completed JBI EITP OR has completed a JBI Evidence Implementation Project (audit & feedback)

, whereby that hospital will

Please note: If either the JBIC Entity OR the Clinical Partner do not meet the criteria above you can still submit a Tier 2 - JBIC Clinical Partner Engagement Form. However, there is an expectation that you and your clinical partner should be working towards using JBI’s Implementation Framework as a part of achieving JBI Endorsement within three years. Please ensure that you discuss a plan of how this will be achieved with JBI Endorsement Program Manager, Dr Lucylynn Lizarondo, in your orientation meeting.

Once the Tier 2 Clinical Partnership has been confirmed by the Global Engagement Office the healthcare facility will then receive a complimentary subscription to JBI EBP Database via Ovid, JBI SUMARI and JBI PACES for the purpose of promoting and supporting an evidence-based approach to policy and practice.

JBC Entities that choose to take up this opportunity must demonstrate the outcomes from this work. The purpose of Clinical Partnership is to close translational gaps that frequently occur across the evidence based cycle, through increased knowledge, awareness and ultimately use of JBI resources for best practice.

This JBIC Matrix Activity seeks to recognise those Entities working directly in partnership with health professionals at the point of care. Entities that are hosted by a clinical institution may nominate their host institution as their clinical partner, but would need to demonstrate that significant effort had been made to engage a wide network of staff outside of the Entity’s Core Staff through training, workshops, presentations and meetings.

For the full the Key Performance Requirements and operational guidelines, please refer to the JBI Collaboration Handbook.

The subscription will be valid for three years.

To accrue points for this activity Entities must:

a)     Provide evidence of engagement activities conducted with the clinical partner and its staff through the completion of an annual online evaluation and via their Entity Annual Review Report. 10,000 points will be awarded in years 1 & 2 upon the successful completion of the online evaluation.

b)   By the third year, provide evidence of:

  • The clinical partner being JBI Endorsed (for the first time, or maintaining endorsement)

  • A JBI Implementation Report accepted for publication in JBI Evidence Implementation ; or

  • a JBI Impact Story published on the JBI Website (year published on the website). Submit your Impact Story to the GEO, jbic@adelaide.edu.au

The JBI Implementation Report and/or the JBI Impact Story will be recognised in the Annual Review in the year it is accepted for publication via JBI Evidence Implementation, or published on the JBI website only.

10,000 points will only be awarded in the third year if a publication between the Entity and the Clinical Partner has occurred as described in b) above, and the clinical partner has become JBI Endorsed.

Note: If JBI Endorsement is not achieved or maintained within three years, JBI will not accept a renewal of the Clinical Partnership.

For further guidance and strategies for Clinical Partnership Engagement in line with JBI Endorsement, please refer to resources available in the JBI Endorsement Resource Portal.

Note: Entities may have more than one Tier 2 Clinical Partnership at any given time, however each Clinical Partnership must be registered separately and only one Clinical Partner can receive a complimentary subscription at any one time. A Clinical Partnership may continue after three years; however, a Clinical Partner can only receive a complimentary subscription once (for three years), after this the Clinical Partnership may continue, but if JBI resources are required they will need to be purchased via WK/Ovid. if your Entity is disestablished prior to the three-year subscription expiry date, your clinical partner subscription will be terminated upon disestablishment (see page 9)
